Employee handbook and policy drafting

A handbook is thirty policies that each have to be right in every state the employer operates in. We draft the whole document to the jurisdictions you name, with state-specific supplements separated out so the next state does not mean a rewrite.

What you receive

A complete employee handbook drafted to current multi-state requirements, section by section.

Priced per handbook by jurisdiction count. Above six states, or with local ordinances layered on, the quote moves to the upper end of the range.

  • A complete handbook drafted section by section in your firm's structure and voice
  • State-specific supplements separated from the core policies, one per jurisdiction
  • Required notices and policies identified per state, with the statutory basis noted
  • At-will, acknowledgement and disclaimer language drafted to each jurisdiction's treatment
  • Leave policies reconciled against federal, state and local entitlements
  • A change log where an existing handbook is being revised, showing what changed and why

What it costs, and what it replaces

Both figures are published ranges for the same unit of work. Ours is fixed before we start; if our process gets faster, that is our gain and your price does not move.

How the work runs

  1. 01

    Jurisdiction and threshold map

We map the jurisdictions and headcount thresholds first, since a policy that is mandatory at fifty employees and optional at forty-nine determines the structure of the whole document.

  2. 02

    Core and supplement architecture

Core policies are drafted once, and state-specific variation goes into supplements. Handbooks that inline every state variation become unmaintainable at the third state.

  3. 03

    Section drafting

Each section is drafted against current requirements for the named jurisdictions, with the basis recorded so a later reviewer can see why a provision reads the way it does.

  4. 04

    Consistency and review

Definitions, leave interactions and cross-references are checked across the whole document, and a qualified lawyer reviews before delivery as a first draft for your review.

What we need from you

  • The states and, where relevant, the cities where the employer has staff
  • Headcount, since thresholds change which policies are mandatory
  • The existing handbook, if there is one
  • Your firm's precedent handbook and any policies the client wants preserved

What we check before delivery

  • Every mandatory policy for each named jurisdiction is checked against a current source
  • Leave policies are checked for interaction errors between federal, state and local entitlements
  • Defined terms and cross-references are verified across the full document
  • Acknowledgement and at-will language is checked against each state's treatment of it

When firms send us this

  • Employers expanding into new states whose handbook has not kept up
  • Annual handbook refreshes across a portfolio of employer clients
  • Post-acquisition harmonisation of two employers' handbooks
  • Firms whose handbook work is profitable in theory and unstaffable in practice

Questions about handbook and policy drafting

  • Is this legal advice to the employer?

No. It is a drafting deliverable for the engaging attorney, prepared under your supervision. The advice to the employer, and everything that goes out under your name, is yours.

  • How current is the state content?

Drafted against current requirements at the time of the work, with sources recorded per section so you can verify any provision. Employment requirements change constantly, which is why the basis is recorded rather than assumed.

  • Can you revise an existing handbook instead?

Yes, usually at the lower end of the range, delivered with a change log showing exactly what changed and why.
