Cross-practice legal support

Docketing and calendaring

A missed deadline is the most expensive thing that can happen to a well-run practice, and it almost never happens because someone did not care. It happens because entry was manual and nobody owned it. We own it, monthly, at a fixed fee.

What you receive

Every deadline entered, cross-checked against rules, and confirmed back to the handling attorney.

Priced monthly by active matter count. Multi-jurisdiction practices and appellate calendars are quoted at the upper end of the range.

  • Every deadline entered into your calendar system with the triggering event and rule recorded
  • Rule-based computation of downstream dates, not just the date printed on the notice
  • A reminder chain per deadline, set to your firm's preferred intervals
  • Written confirmation back to the handling attorney on every entry
  • A weekly look-ahead report of everything due in the next thirty days
  • A monthly audit reconciling the calendar against the court docket for every active matter

What it costs, and what it replaces

Both figures are published ranges for the same unit of work. Ours is fixed before we start; if our process gets faster, that is our gain and your price does not move.

How the work runs

  1. 01

    Baseline audit

We reconcile your current calendar against the live docket for every active matter and report the gaps. Starting from an unverified calendar just moves an existing problem into a new system.

  2. 02

    Daily entry

Notices and orders forwarded to us are entered the same business day, with the triggering event, the governing rule and the computed date all recorded on the entry.

  3. 03

    Confirmation loop

Every entry is confirmed in writing to the handling attorney. A deadline nobody was told about is not a deadline that has been managed.

  4. 04

    Weekly and monthly reporting

A thirty-day look-ahead goes out weekly, and a full docket reconciliation runs monthly so drift is caught at the month boundary rather than at the hearing.

What we need from you

  • Access to your calendar or docketing system, under accounts you control
  • Court notices, orders and scheduling orders as they arrive
  • Your firm's reminder conventions and escalation preferences
  • A matter list with the responsible attorney for each

What we check before delivery

  • Computed dates are checked against the current rule text for that court, including local standing orders
  • Court holidays and electronic filing cut-offs are applied to every computation
  • Each entry carries the source document reference, so the basis can be re-checked later
  • The monthly reconciliation is performed against the court's own docket, not against our own entries

When firms send us this

  • Practices where docketing is whoever opens the mail that morning
  • Firms that have grown past the point where one person can hold the calendar in their head
  • Departments carrying malpractice-insurance pressure to document their deadline process
  • Cover for a docketing clerk's leave, without hiring a temp who needs training

Questions about docketing and calendaring

  • Do you take responsibility for missed deadlines?

We are a support provider working under your supervision, and professional responsibility for the matter stays with the firm. What we provide is a documented process with written confirmation on every entry and a monthly reconciliation against the court's own docket.

  • Which systems do you work in?

Yours. We work inside your existing calendar or practice management system under accounts you create, rather than asking you to migrate to anything of ours.

  • How fast are new notices entered?

Same business day if forwarded before the end of your day, with written confirmation of the computed dates back to the responsible attorney.
