Client intake and conflict checks

Conflicts checking is the one intake step most firms still run on memory. We run it as a documented search against your records, return a written result with what was searched and when, and assemble the intake packet behind it.

What you receive

New matters screened, conflicts cleared against your records, and intake packets assembled.

  • A documented conflicts search per new matter, against your client, matter and party records
  • A written result recording the search terms used, the sources searched, and the date
  • Name variants, former names, affiliates and adverse parties searched, not just the headline name
  • Potential matches escalated to the named decider at your firm with the supporting records attached
  • An assembled intake packet: engagement letter, fee agreement and any required disclosures, per your templates
  • A monthly log of every check run, including clean results, for your file and your insurer

What it costs, and what it replaces

Both figures are published ranges for the same unit of work. Ours is fixed before we start; if our process gets faster, that is our gain and your price does not move.

How the work runs

  1. 01

    Party registry

We build and maintain a party registry from your records so searches run against a defined set, rather than against whatever someone remembers to look in. This is the step that makes every later check faster and defensible.

  2. 02

    Structured search

Each new matter is searched against the registry on the full set of parties, including variants, former names, corporate affiliates and adverse parties, with the search recorded as it runs.

  3. 03

    Escalation, not resolution

Anything ambiguous goes to your named decider with the matching records attached. We never clear a matter and never decline one; the judgment is the firm's.

  4. 04

    Packet assembly and logging

Once cleared, we assemble the intake packet from your templates and log the check, clean results included, so the file can show later what was actually searched.

What we need from you

  • Read access to your client and matter records, or an export refreshed on an agreed schedule
  • Your engagement letter and fee agreement templates
  • The named person at your firm who decides ambiguous matches
  • New matter details as they come in, by whatever route suits you

What we check before delivery

  • Clean results are logged, not discarded, so the absence of a conflict is provable months later
  • Every check records what was searched, against which sources, and on what date
  • Checks are re-run when a new party joins an existing matter, which is the most commonly skipped step
  • Escalations carry the underlying records, not just a name match

When firms send us this

  • Firms where conflicts are checked from memory by whoever has been there longest
  • Practices with high intake volume and a small administrative team
  • Firms preparing for a professional indemnity renewal or an outside-counsel audit
  • Any practice that cannot currently show what was checked on a matter opened last year

Questions about client intake and conflict checks

  • Do you clear conflicts?

No. We run the search, document it, and escalate anything ambiguous to the person at your firm who decides. Clearing a matter or declining one is a professional judgment that stays with the firm.

  • Do our client records leave our systems?

No more than necessary. We work under read access to your systems where possible, and where an export is required it is encrypted, access-limited to named individuals, and deleted on the schedule in our data note.

  • What happens when a new party joins mid-matter?

The check re-runs. That re-run is the single most commonly skipped step in conflicts practice, and it is built into the process rather than left to someone noticing.
